Refunds
These terms apply to paid engagements with Valleybase Civic Metrics Co., Ltd. They do not describe retail products we do not sell.
Eligibility
Refunds depend on how far the engagement has progressed and whether dates were reserved for on-site work in Binh Duong.
Timeframe to request
Send refund or cancellation requests in writing to hello@portalvalleybase.click within 14 days of the event giving rise to the request, or sooner if your scope note sets an earlier notice period.
Full refund
If you cancel before we begin document collection or any on-site day, and before we have incurred third-party costs on your behalf, we refund 100% of fees paid for that engagement.
Partial refund
If work has started — including intake workshops, sampling, or drafting — we refund the unused portion after deducting time already worked at the rates in your scope note, plus non-recoverable expenses disclosed to you.
Non-refundable items
Completed deliverables already accepted by your director; workshop sessions already delivered; and purchased materials ordered with your written approval (for example printed chart plates) are non-refundable.
Deposits
The typical 40% deposit reserves calendar time. If you cancel after the deposit due date but before work starts, we retain up to 50% of the deposit for reserved days we cannot reasonably refill within seven days; the remainder is refunded.
Rescheduling
You may reschedule on-site days once without fee if you give at least seven days’ notice. Later changes may incur a rescheduling charge stated in the scope note.
No-shows
If agreed interviewees or the liaison are unavailable without timely notice on a booked on-site day, that day may be billed as delivered.
Work already started
Drafts in progress remain billable for hours worked. You may request transfer of draft files upon settlement of outstanding fees.
Process and timing
Approved refunds are processed within 14 business days to the original payment method when possible, or by bank transfer to an account you nominate. We confirm in writing when the transfer is initiated.
